PAYROLL CHECKLIST.

End of Day.

· Hours updated to actual worked

· New Starters (who started today) fully processed via the New Starters Online form 

o    Bank details entered (by employee)

o    Hours added to the Rota

· Pending Holiday Requests approved/reviewed 

· The day’s amendments fully processed via the Employee Changes Online form 

o        Pay changes

o        Position changes

o        Site changes

End of Week (due Monday 9am).

·   New Starters - double checked & fully processed with hours entered in the rota

·  Leavers processed (with correct leave dates!) via online form

·  The week’s Holiday / sick days reviewed and up to date

·  Hours confirmed 

·  Rota submitted

·  Tronc Rates calculated & entered

·  Amendments processed via online form

      • Pay raises

      • Position changes

      • Site changes 

Processing New Starters, Leavers & Employee Changes (Amendments).

We have (3) new online forms for New Starters, Leavers, and Employee Changes.

Please see below for a breakdown of how they'll work and save the form links for quick access. 

NEW STARTERS.

Process:

1. Complete the online form the week before their first shift (at least)

2. E-mail their completed HMRC New Starter Checklist and signed RTW documents (back and front) to michaela@grind.co.uk and preeya@grind.co.uk. (both forms are attached).

3. Michaela will add all New Starters to Selima. If they are not in the system by the time you close your rota, please note their shifts in your Monday's "Rota Complete" e-mail.

LEAVERS.

Process:

1. Complete the online form once their last shift is known

2. Please make sure employees are leaving the business and are NOT just transferring sites (this would go into the Employee Changes form). 

3. Michaela will process all Leavers on Monday mornings only

EMPLOYEE CHANGES (AMENDMENTS).

Changes Include:

1. Site Changes

2. Position Changes (any)

3. Rate of Pay Changes

Process:

1. Speak with Kyle and Lucy about the change(s) you would like to make and receive verbal approval

2. Complete the online form once changes have been discussed with the employee

3. Once confirmed by Kyle & Lucy, Michaela will process changes in Selima. 

4. Please note that if confirmation cannot be obtained due to requests not matching what was verbally agreed, changes will not be made.

5. Approved changes will be processed in Selima on Monday mornings only.
